Preparation – A Key Component of Your Business Presentation - September 2006

Preparation is a key component of a successful PowerPoint presentation. The Boy Scout motto of “Be Prepared” definitely applies when giving a business presentation. It is smart to be proactive and address any potential problems in advance to ensure as smooth a Power Point presentation as possible.

There are two main areas of preparation to focus on. The first involves the technical aspects of the multimedia presentation, making sure all the equipment is working properly. The second is simply practice.

Technical Preparation for Your PowerPoint Presentation

The technical preparation for Power Point presentations is straightforward but very important. You need to test all the equipment you will be using to make sure it is working properly. You do not want your projector malfunctioning while standing in front of an important audience.

Here is a brief checklist for a multimedia presentation:
  • Machine/computer operation
  • Projector operation
  • Brightness of display
  • Audio quality and volume

Also, if you have created multiple versions of your business presentation, make sure you have the correct version for this specific meeting or event. Finally, and most importantly, always bring a backup copy! A great place to put that backup copy is an inexpensive USB drive that will allow you to make use of another computer should yours have a problem.

Practice, Practice, Practice – for a successful Power Point presentation

Practice is an essential element of preparing to present your PowerPoint to an audience. As important at it is, it’s amazing how many people don’t practice. Practice will not only make you more comfortable and natural, it will also enable you to deliver your message more effectively so that you see better results.

Practicing also gives you the chance to run through all your slides and make sure you are addressing all the key points you want to make. Not all points need to be listed as text on every slide, as part of the PowerPoint design, but you want to make sure the accompanying narration will touch on all the important elements as well as serve to clarify and reinforce the information on the slides themselves.

Finally, another benefit of practicing your marketing presentation is to ensure that your timing is accurate. Make sure you know how much time you are permitted before you show up. While practicing, time your PowerPoint presentation so that you fill that slot while allowing for an appropriate Q&A period.

In summary, preparation is vital to a successful corporate presentation. Whether you are presenting to a huge auditorium or to a small group of colleagues, to be professional, you’ve got to be prepared.
